How we collect, use and protect your personal information when you visit our website, request a quote or deal with KSPAN.
01 About this policy
KSPAN (“we”, “us” and “our”) manufactures and supplies steel battens in South Australia. This policy explains how we handle personal information in connection with kspan.com.au, enquiries, quotes, orders and customer relationships.
Personal information is information or an opinion about an identified individual, or an individual who can reasonably be identified. We respect your privacy and handle personal information in accordance with this policy and the laws that apply to our business, including the Privacy Act 1988 (Cth) and Australian Privacy Principles where applicable.
02 Information we collect
The information we collect depends on how you interact with us. It may include:
- Contact details: your name, phone number, email address, business name and role.
- Quote and order details: delivery or site address, product requirements, quantities, project information, delivery instructions, billing details and transaction records.
- Correspondence: information you provide in enquiries, emails, messages, feedback or complaints.
- Website information: device and browser details, IP address, pages viewed, referral information, approximate location and interactions with the website.
Please only provide information relevant to your enquiry. We do not ordinarily need sensitive information, such as health information, to supply steel battens.
03 How we collect and use information
We generally collect information directly from you through our quote form, by phone, email, in person or through social media. We may also receive information from someone acting on your behalf, such as a builder or colleague arranging an order, or from a service provider helping with a delivery. Technical information may be collected automatically when you use our website.
We use personal information to:
- Respond to enquiries and prepare quotes.
- Process orders, arrange delivery or collection and provide customer support.
- Manage invoices, payments and business records.
- Understand and improve our website and services.

You can make a general enquiry without identifying yourself where practical. If you do not provide information needed for a quote or order, we may be unable to provide an accurate quote, arrange delivery or fulfil your request.
04 Who we share information with
We may share relevant personal information with service providers who help us operate our business, including website and IT support providers, hosting and email providers, delivery contractors, payment and accounting providers, and professional advisers.
For example, a delivery contractor may need your name, contact number and delivery address to deliver an order. Website support providers may need access to enquiry records to maintain or troubleshoot the website.
We limit sharing to information reasonably needed for the relevant purpose. We may also disclose information with your permission, or where required or authorised by law. Google services used on the website are explained below.
06 Overseas processing
Some third-party services may store or process information outside Australia. Google operates globally and may process information in the United States and other countries where it or its service providers operate, as explained in Google’s Privacy Policy.
Other overseas handling depends on the hosting, email, IT and business service providers we use. Where we disclose personal information overseas, we take the steps required by applicable privacy law. You can contact us with questions about overseas handling.
07 Storage, security and retention
We hold personal information in electronic systems and, where needed, paper records. We take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. Access is limited to people who need information for their work.
We retain information for as long as reasonably needed for the purpose it was collected, including customer support, accounting, dispute resolution and applicable legal requirements. When information is no longer needed and does not need to be retained by law, we take reasonable steps to securely destroy or de-identify it.
No method of online transmission or storage is completely secure. If a data breach occurs, we will assess it and notify affected individuals and regulators where required by law.
08 Your marketing choices
If we send marketing emails or text messages, we will do so with the consent required by law and provide a way to unsubscribe. You can also ask us to stop marketing by emailing admin@kspan.com.au.
We will action electronic marketing unsubscribe requests within five working days, at no charge. Opting out of marketing does not stop messages needed to respond to an enquiry or manage your order. Submitting a quote request does not, by itself, subscribe you to a marketing list.
09 Access and correction
You can ask to access personal information we hold about you or request a correction if it is inaccurate, out of date, incomplete or misleading. Contact us using the details below and explain your request.
We may need to verify your identity before providing access or making changes. We will respond within a reasonable period. If we cannot provide access or make the requested correction, we will explain why, unless the law prevents us from doing so, and tell you how to raise a complaint.
10 Privacy complaints
If you are concerned about how we have handled your personal information, please email admin@kspan.com.au with the subject “Privacy complaint”. Include your contact details, what happened and the outcome you are seeking.
We will review your complaint and aim to respond within 30 days. If we need more time or further information, we will let you know.

11 Changes to this policy
We may update this policy to reflect changes to our business, website or legal requirements. The current version will be available on our website with its last updated date. Contact us if you need a copy in another accessible format.
